Volunteer Descriptions
Swim meets rely on parent and family volunteers to run smoothly. Below are common volunteer roles, point values, and brief descriptions of what each position involves.
Meet Leadership & Officials
Meet Director — 5 points
The Meet Director is the chief organizer for a home meet. This person helps coordinate logistics, facilities, meet setup, volunteers, and overall meet flow.
Needed: 1 per home meet
Meet Referee — 3 points
The Meet Referee is the senior official responsible for safety, fairness, rule enforcement, and final decisions during the meet.
Training required.
Needed: 1 per meet
Stroke & Turn Judge — 5 points
Stroke & Turn Judges watch swimmers to ensure strokes, turns, and finishes follow league rules.
Training required.
Needed: 2 per meet
Announcer — 5 points
The Announcer helps start races, make announcements, and keep the meet moving at a steady pace.
Training preferred.
Needed: 1 per meet, plus 1 backup if needed
Meet Operations
Clerk of Course — 5 points full meet / 2.5 points half meet
The Clerk of Course helps organize swimmers by heat and lane before their races. This position helps ensure swimmers are in the correct place and ready for their event.
Needed: Typically 2 per meet
Timer — 3 points half meet
Timers stand at the end of each lane and use a stopwatch to record swimmers’ finish times. Timers also write times on event cards when needed.
Needed: 12 per away meet; 14 per home meet
False Start Rope Holder — 1 point half meet
The False Start Rope Holder helps deploy the recall rope if a false start is called.
Needed: 2 half-meet shifts
Runner — 3 points half meet
Runners collect and deliver event cards, timer sheets, and disqualification slips to the appropriate officials or scorekeeping table.
Needed: 4 total per meet, 2 per half
Swimmer Check-In — 2 points
Swimmer Check-In volunteers help coaches check swimmers in before the meet begins.
Shift: 5:00 PM – 6:00 PM
Scoring & Awards
Scorekeeper — 4 points
The Scorekeeper records times and results, helps verify entries, and assists with scoring the meet using Meet Maestro.
This position is usually one of the last to finish because results must be entered and verified before ribbons are completed.
Needed: 1 per meet
Scorekeeper Assistant — 3 points
The Scorekeeper Assistant helps the Scorekeeper enter, verify, and organize meet results.
Needed: 1 per meet
Ribbon Writer — 3 points half meet
Ribbon Writers help complete ribbons after results are verified.
This position may finish later in the meet because ribbons cannot be completed until times and results are entered.
Needed: 2 per meet
Hospitality, Concessions & Setup
Hospitality — 2 points
Hospitality volunteers welcome the visiting team, help with signage, and assist guests as they get settled.
Shift: 5:00 PM – 6:00 PM
Set-Up — 3 points
Set-Up volunteers help prepare the pool area for home meets, including tables, tents, concessions, and other meet materials.
Arrival: 4:00 PM
Needed: 4–6 people
Concessions — 2 points
Concessions volunteers sell food and drinks during home meets.
Shift: 45-minute shifts
Needed: 2 per shift; approximately 8 per meet
Ice Getter — 3 points
The Ice Getter picks up ice for the concession drinks on the morning of the meet.
This person should have a large vehicle and be able to lift heavy coolers or bags of ice.
Grill Master — 3 points
Grill Masters cook hot dogs and burgers for the concession stand during home meets.
Shift: 1.5-hour shift
Needed: 2 per meet, 1 per shift
Clean Up — 3 points
Clean Up volunteers help return chairs to the correct locations and clean the pool area after home meets.
Needed: 4–6 people
